Freight quote checklist and shipping information
Freight quote checklist and shipping information

The fastest way to get a useful freight quote is to send complete shipment details the first time. Missing dimensions, weight or access information can change the equipment and price.

Where

Pickup and delivery ZIP codes, facility type, hours and appointment requirements.

What

Commodity, piece count, packaged dimensions, weight, stackability and photos.

How & when

Loading method, equipment needs, ready time and required delivery date or appointment.

The basic freight quote checklist

Start with the pickup and delivery ZIP codes. If either location is residential, a construction site, farm, mine, military base, port, trade show, limited-access facility or somewhere without a dock, include that information up front.

Then describe the freight in plain language. Include the commodity, number of pieces or pallets, exact packaged dimensions and total weight. If the shipment is unusual, fragile, high-value, non-stackable, temperature-sensitive or hazardous, identify the requirement rather than assuming it will be obvious later.

Loading details can change the truck

Tell Jason how the freight will be loaded and unloaded. A standard dock-to-dock pallet is different from a 12-foot machine that needs a crane. Mention forklift availability, liftgate requirements, ramps, crane appointments, rigging or whether equipment can drive onto a trailer.

For open-deck freight, also mention tarping, chains/straps, special securement or over-dimensional concerns. For enclosed freight, confirm the cargo can fit through the actual door opening—not just inside the trailer or van.

Timing should be specific

Include the date and time the freight will actually be ready. If the pickup is appointment-only, provide the window. For delivery, state whether the date is flexible or whether there is a hard deadline tied to production, construction, an event or customer commitment.

This information helps compare LTL, full truckload, hot shot, Sprinter van, flatbed and specialized services without forcing the shipment into the wrong category.

What to Send Jason

If you want help matching the shipment to the right equipment or service, send these details with your freight quote request:

  • Pickup ZIP and full facility/access details
  • Delivery ZIP and facility/access details
  • Commodity
  • Number of pallets/pieces
  • Exact packaged length × width × height
  • Total weight
  • Stackable/non-stackable
  • Loading and unloading method
  • Ready date/time
  • Required delivery date/time
  • Photos
  • Special handling, tarp, permit or access needs

Do not guess the equipment if you are unsure

You do not need to know the trucking terminology before asking for a quote. Send the freight details and the options can be compared. That is usually safer than booking a truck by name and discovering at pickup that the load does not fit.

Frequently Asked Questions

Can I request a freight quote without knowing the weight?

You can ask for guidance, but accurate weight is important for selecting legal equipment and producing a reliable quote.

Do I need dimensions for every pallet?

Yes when pallets differ. If every pallet is identical, provide the dimensions of one and the quantity, plus the total weight.

Why do freight brokers ask for photos?

Photos help identify unusual dimensions, packaging, loading points and equipment requirements that may not be obvious from a short description.

Should I choose LTL, hot shot or flatbed before requesting a quote?

Not necessarily. If you send complete shipment details, the appropriate service can be compared based on the freight rather than guessed in advance.
